Propofy (“Propofy”, “we”, “us”) is a software-as-a-service platform that helps independent contractors create proposals, manage follow-ups, and collect customer reviews. Our website is propofy.ai.

Contractor account data: name, email address, business name, phone number, and profession — provided during registration.

Client data entered by contractors: client names, email addresses, and phone numbers added when creating proposals or review requests. Propofy acts as a data processor on behalf of the contractor (data controller) for this data.

Usage data: IP address, browser type, pages visited, and timestamps — collected automatically via server logs.

Payment data: processed by Stripe. We do not store credit card numbers.

• To deliver the Propofy service (proposals, follow-ups, review management).
• To send transactional emails (proposal delivery, signing confirmation, password reset).
• To send marketing follow-up emails and SMS messages on behalf of contractors, only to clients who have not opted out.
• To improve and maintain the platform.
• To comply with legal obligations.

All marketing emails sent through Propofy include an unsubscribe link in compliance with the CAN-SPAM Act. Recipients may opt out of further emails at any time by clicking the unsubscribe link in any email. Opt-out requests are processed immediately.

Transactional emails (e.g., proposal delivery, password reset) are exempt from unsubscribe requirements under CAN-SPAM but can still be managed by contacting us.

SMS messages sent through Propofy are sent by contractors to their own clients. By using Propofy's SMS features, contractors represent and warrant that:

• They have obtained prior express written consent from each recipient to receive SMS messages.
• They will honor opt-out requests immediately (reply STOP to any SMS).

Propofy complies with the Telephone Consumer Protection Act (TCPA). Message and data rates may apply. Message frequency varies.

We do not sell personal data. We share data only with:

• Stripe — payment processing.
• Resend — transactional email delivery.
• Twilio — SMS delivery.
• Anthropic — AI response generation (review text and proposal details).
• Google — if a contractor connects Google Business Profile.

All sub-processors are contractually required to protect your data.

We retain contractor account data for as long as the account is active. Client data (proposals, follow-ups, review requests) is retained for up to 3 years after the last activity, then deleted. Unsubscribe records are retained indefinitely to honor opt-outs.

Contractors may request deletion of their account and associated data by contacting [email protected].

We use industry-standard measures including TLS encryption in transit, encrypted database storage at rest, and role-based access controls. We do not store passwords in plaintext (bcrypt hashing).

California residents may request to know what personal information we collect, request deletion, and opt out of the sale of personal information (we do not sell personal information). To exercise these rights, contact [email protected].

Propofy is not directed to children under 13. We do not knowingly collect personal information from children.

We may update this policy from time to time. We will notify contractors via email of material changes. Continued use of the service after changes constitutes acceptance.
